How to Install QloApps QloApps Early Check-In and Late Check-Out Manager

Installing the QloApps QloApps Early Check-In and Late Check-Out Manager addon is a straightforward process. Follow these steps:

1. Log in to the back office of QloApps

2. Go to the Modules and Services tab

3. Click on Add a new module

4. Upload the ZIP file of the module

5. Click on the “Upload and install this module” option

Configuring QloApps QloApps Early Check-In and Late Check-Out Manager

After the module installation, you can configure the settings of the module by clicking on the “Modules & Services” Tab > select “Manage Module” > Search for “Early Check-in & Late Check-out Fees” > click on “Configure” to further configure the module.

Early Check-in Configuration 

By configuring the early check-in options, you can configure the following options:

Early Check-In Fee: Switch to “Yes” if you want to enable early check-in

Early Buffer Time: Set the number of hours before the official early check-in time so that guests can arrive without incurring an early check-in fee.

Apply Fees: Select if the admin has applied the early check-in fees manually or the system will automatically apply. 

Manual Fees: Select to apply a custom fee for each guest who checks in early. This allows the admin to set the fee for each guest manually. 

Automatic Fees: Select to apply a standard fixed fee automatically for all guests who check in early. 

You can set multiple early check-in fee rules using the option given below.

Start Time: Enter the number of hours before check-in to apply the fees, choosing a value between 0 and 10 hours.

Example: If the check-in time is 11:00 AM, and the guest wants to apply fees for early check-in starting from 10:00 AM (1 hour before check-in), enter 1 in this field.

Fees Type: Select the type of fees to apply, either fixed or percentage.

Fixed Fees Type: The system will charge a fixed amount for early check-in.

Percentage Fees Type: The system will charge a percentage of the total booking amount for early check-in.

Amount: If you select “Fixed” as the fee type, enter the fixed amount to charge for early check-in. If you select “Percentage,” enter the percentage to charge.

Early Check-in Rules

The Early Check-in rules allow you to set fees for guests who check in before the designated check-in time.

Start Time: Enter the number of hours before the check-in time when the fees will be applied. Choose a value between 0 and 10 hours.

Fees Type: Select the type of fees to be applied:

Fixed: A fixed amount will be charged for early check-in.

Percentage: A percentage of the total booking amount will be charged for early check-in.

Amount: If you selected Fixed as the fee type, enter the fixed amount to be charged for early check-in. If you selected Percentage, enter the percentage of the total booking amount to be charged.

Late Check-out Configuration

By configuring the late check-out options, you can configure the following options:

Late Check-Out Fee: Switch to yes if you want to enable late check-out

Late Buffer Time: Set the buffer time in hours so that guests can depart after the late check-out time and still be considered on time for check-out.

Apply Fees: Select the type of fees to be applied for late check-out. Choose between manually and Fixed.

Manual Fees: Apply a custom fee for each guest who checks out late. This allows you to set the fee for each guest manually.

Fixed: Apply a fixed fee for all guests who check out late. This allows you to set a standard fee for all late check-outs, making it easier to manage and track your revenue.

Late Check-out Rules

The Late Check-out rules allow you to set fees for guests who check out after the designated check-out time.

Start Time: Enter the number of hours from the check-out time when the fees will be applied. Choose a value between 0 and 10 hours.

Fees Type: Select the type of fees to be applied:

Fixed: A fixed amount will be charged for late check-out.

Percentage: A percentage of the total booking amount will be charged for late check-out.

Amount: If you selected Fixed as the fee type, enter the fixed amount to be charged for late check-out. If you selected Percentage, enter the percentage of the total booking amount to be charged.

CRON Job

To automate the application of early check-in and late checkout rules for rooms and extra services, you use the link to your cron task scheduler to execute hourly:

This will ensure that the fees are applied automatically and accurately, saving you time and effort.

Hotel-Specific Rules

If you want to apply early check-in and late check-out rules for each hotel separately, you can do so by going to the Hotel Reservation Tab > Manage hotel > edit on hotel > Click on Early Check-in | Late Check Check-out option to add the rules. 

Enable Early Check-In Fee: Switch to yes if you want to enable early check-in

Use global values for fee calculation: Enable this option to use the global early check-in rule created in the configuration for the hotel.

Early Buffer Time: Set the buffer time in hours to allow guests to arrive before the early check-in time and still be considered on time.

Apply Fees: Select the type of fees you want to apply for early check-in. Choose between manually and Fixed. 

Manual Fees: Apply a custom fee for each guest who checks in early. This allows you to set the fee for each guest manually. 

Fixed: Apply a fixed fee for all guests who check in early. This allows you to set a standard fee for all early check-ins, making it easier to manage and track your revenue.

The options are the same as the global settings, but you can apply hotel-specific rules separately.

How to apply Early Check-in and Late check out Fees

To apply the Early Check-in and Late Check-out Fees in the module, follow these steps:

Navigate to the “Orders” tab.

Select the “Orders” option.

Click on “View” for the specific order where you wish to apply the fees.

Choose the appropriate check-in and check-out status based on the guest’s actual timing.

Once you update the status, the system automatically calculates and applies the fees based on the current time and the scheduled check-in or check-out time.

The system also applies any applicable taxes on the Early Check-in and Late Check-out Fees accordingly.

NOTE: If the system automatically applies an early check-in or late check-out fee and the hotel owner manually removes it, the CRON job will no longer apply to that specific fee adjustment. However, the CRON will continue to work for other bookings and fees as configured.
